Hours of work will be 08.00-18.00 hours Monday to Friday.

The role is responsible for coordinating deliveries, organising travel arrangements for staff, the first person to meet and greet members of the public and staff.

Main responsibilities will include:

  • Meet & greet and deal with all clients, suppliers and internal staff courteously and efficiently.

  • Be aware of all Front of House service standards and work as a team to ensure they are met and exceeded.

Due to our continued growth we are currently looking for a Finance Administrator for our administration office based in Rochester, Kent .

The Finance Administrator is responsible for the daily accounting responsibilities in maintaining the accounting ledgers of Ward Security Limited

  • Inputting sales invoices and credit notes in an accurate and timely manner.
  • Distributing sales invoices & dealing with customer queries as and when they arise
  • Obtaining client PO’s and assigning them to sales invoices
  • Bank reconciliations
  • Balance sheet reconciliations
  • Customer credit checks & ongoing monitoring of new customers
  • Credit control, observing monies received and chasing old debts
  • Producing the monthly sales reconciliation
  • Producing the monthly hours reconciliation
  • Reviewing regional payroll journals prior to posting
  • Producing a monthly breakdown of income by region and distributing to regional
  • Preparing accruals schedules for monthly management accounts
  • General ad hoc queries from clients and colleagues

Knowledge, Skills and Experience

  • Level 3 AAT or above
  • Previous experience in a similar role preferred
  • Good verbal and written communication skills
  • Working knowledge of Microsoft Office Package
  • Working knowledge of Sage Line 50
  • Accounts preparation up to and including Trial Balance

As part of Ward Security continuing growth, we are now looking to recruit a Assistant Security Manager to join our forward thinking company and to join our professional security team.

We are currently recruiting for professional and highly motivated, Assistant Security Manager to join our team cover nights and weekends at our site based on the South Bank in London .

The role is responsible for protecting the clients’ business interests by the provision of a security presence in addressing issues dealing with fire, damage, theft and health and safety issues.

This position would require the security officer to work on average 50 hours per week Monday-Friday.

Site based Operational Assistant Security Manager is responsible for ensuring the effective and efficient management of the Company’s business by means of operational interaction, direct supervision of staff and liaison with Clients for a designated region.

Looking to build strong customer relationships, bespoke operational requirements to meet individual customer needs. Ensuring the highest quality service whilst exceeding stakeholder’s expectation at all levels

To recruit, develop, manage and monitor security personnel ensuring standards, contractual obligations and health and safety issues set out by the Company are adhered to.

Ensure effective deployment of recourses, effective control of absence management correcting under performance as necessary.

Produce regular reports on the operational effectiveness of the teams and supporting administration mechanisms – identify, at an early stage, areas of development and assist the Security Manager in providing timely solutions to these areas

Assist in the implementation of training matrices as required by the Security Manager, mentor and support Duty Managers and officers to ensure standards are constantly high and training KPIs are met

Management of time and ability to support/enhance our service delivery across a diverse industry within a 24/7 operational environment. Ensuring expectations and requirements for all stakeholders are met

  • Key Functions

Be actively involved in all operational duties, ensuring you are able to provide a comprehensive account of actions taken by staff under your responsibility, and the operational needs of the Company whilst, at all times, leading by example.

Keeping up to date with current threat levels, advising staff and clients accordingly, looking at action plans to implement given a change in status. Planning Project Griffin training for all staff across portfolio testing awareness/impact.

Ensure efficient and effective deployment of personnel, look to maximises trained resources, ensure rates of pay reflect site requirement, minimising enhanced subsequent costs

When necessary ensure completion of investigations/disciplinary/Grievance hearings in line with company policy.

Measure effectiveness of site instructions ensuring details are current and offer maximum impact, whilst also challenging knowledge and competencies of team members.

Develop with Training Manager tool box talks as Relevant to meet the needs of the business, correcting subject knowledge as necessary.

Provide monthly management report to support the review/KPI meetings, ensuring client specific documentation and reports are produced in a timely manner. To identify areas of best practice. Similarly, producing action plans for remedial areas as and when necessary.

Ensure all Site Company controlled documentation is accurate and complete at all times (Site Assignment instructions and Risk Assessments etc.) this includes all Company Operating Procedures and relevant British Standards.

Ensuring induction of all new staff with maximum impact on first impressions. To ensure staff are aware of company portals, on line training programs, have relevant log in details, fully equipment with correct uniform, pay dates and other specific detail prior to be assigned to site or customer premises.

Effective leadership, continuously monitor progress of all staff, evaluate through regular supervision and appraisal the targets and objectives, correcting under performance as necessary to ensure highest level of service delivery.

Raising issue to the Security Manager with an action plan of resolution

Ensure all positions have a bespoke effective training matrix as per site instructions and requirements. Regularly review the impact and relevance of the content ensuring all officers (including relief) have completed and signed off by a competent person.

Undertake risk assessments, as part of a dedicated team, to identify security compromises (actual or potential) and raise awareness amongst security personnel, the client and the Company of security issues, offering advice and guidance where appropriate. Ensuring all staff have signed and understand the risks associated with their duties.

Assist Security Manager with ongoing audits of the Company’s functions in line with ISO9001. Must be able to demonstrate a commitment to providing a quality service through effective quality systems.

To support contractual changes, when necessary liaise with relevant departments through contract mobilisation to establish a comprehensive appreciation of full requirement and pricing structure and expectations.

Establish links with local community and police to ensure that the appropriate sharing of local security related issues ensure action plans in place to support resolution.

Effective recruitment of correct calibre of staff, participating in interviews and selection process. Having a complete overview and ownership of proactive management ensuring that recruitment needs are current and up to date at all times.

Be conversant with, and implement the Company’s employment related policies and assist in ensuring that the policies are understood and implemented by all employees.

Attend and contribute at Management Team meetings as directed.

Build effective relationships with other stakeholders to ensure a seamless transition of information to enhance to total service delivery.

Ensure site teams are producing effective and professional documentation following incidents, issues and customer requests and within the agreed timelines

Ensure that customer requested documentation is provided in line with expectation, content check to ensure effectiveness and in line with requirement. Correcting underperformance when necessary.

Must take full ownership of all areas in business affecting service delivery. Leasing with other stakeholders internally or externally to ensure any outstanding issues are closed effectively.

In the event of a genuine emergency and in the absence of the Security Manager, take up the duties and responsibilities of the Security Manager and liaise with all appropriate external and internal agencies to manage the immediate situation whilst awaiting the arrival of support and backup

Maintain effective logs and records of activity and incidents. Promote, support and encourage the seamless flow of information both to and from the Security team and between the Security team and the client at large so as to be able to anticipate, rather than be reactive to, changing circumstances within the site

The role holder is charged with raising awareness and acceptance of security controls amongst the security team and will take direction from the Security Manager for improving physical and technical security within the site

Will also employ a full range of communications and awareness tools available and assist the Security Manager in devising new means of embedding a strong security culture across the organisation

Any other duties that the Company may request from time to time that have not been included in the above.

Follow, review and lead compliance on Ward Security Limited Compliance Procedures for all Company Operating Procedures.

Knowledge, Skills and Experience required

Experience of working within Operational Management in a corporate sector

  • Demonstrate client and stakeholder management skills with the ability to provide complex solutions clearly and effectively at all levels
  • Ability to manage multiple tasks in a fast-paced environment
  • Minimum of 2 years’ experience at Operations Management level (London)
  • Excellent communications skills, leadership, influencing and negotiation skills with a variety of audiences.
  • Possesses a deep understanding of the business objective and process drivers that determine success
  • Excellent planning and organisation skills
  • Knowledge of KPI reporting with understanding of impact
  • Ability to negotiate with stakeholders at all levels, demonstrate the ability to build solid relationships with internal & external clients.
  • Strong IT, HR and working knowledge of a professional security services organisation
