Job Responsibility and Tasks

  • To manage and maintain client relationships within the portfolio and ensuring regular communication and updates are made.
  • Informing clients of any issues and updating them on any aspect of the service we provide forwarding all necessary paperwork or reports as requested.
  • Update all databases with all new and existing information regarding Response accounts.
  • Responsible for ensuring that new contracts are set up correctly in accordance with BS7984 and that accurate details are recorded on company software for invoicing purposes.
  • Ensure annual Keyholding renewals are processed and invoiced, and that all information is up to date and accurate.
  • Check on a daily basis previous night’s duties on company software and report back any findings or incidents to the Client
  • Responsible for ensuring that all keys are stored in accordance with BS7984 and are regularly audited and checked.
  • To support Operations Manager in logging holiday and absenteeism
  • Raise Sales and Purchase orders as tasks are completed adhering to financial deadlines, and follow up to ensure payments are received within company timelines
  • Carry out credit control for the Response debtors ledger on a fortnightly basis in liaison with the Finance Department
  • To follow the process for quoting new business.
  • Communication to and from the Control Room to assist them in their duties
  • To provide accurate and effective administrative and telephone support to the department and clients
  • Responsible for ordering and allocating employee uniform within the designated portfolio
  • Maintain awareness and understanding of how the department impacts customers both internal and external and the departments overall impact on the business operation

Call4Response is a 24 hour service provider of Control Room facilities to various companies to, & on behalf of, Ward Security Limited. It is the first point of contact for staff, existing clients, potential client, emergency services & alarm monitoring stations requiring reactive services. It also serves as a Helpdesk for clients and as a Remote CCTV Monitoring Station.

Call4Response provides professional support whilst maintaining the smooth operation of the Company’s monitoring software.

1. Job Responsibilities and Tasks:

  • Work under the direction of the Control Room Supervisors with Customer Service to the fore
  • Acting as the main communication hub for Security Operatives, providing support & dealing with queries in a professional manner
  • Monitoring the booking on, booking off, & check calls of Security Operatives as part of our Operational agreements & duty of care responsibilities
  • Sourcing & allocating operational cover in the event of blow-outs across the security portfolio
  • Monitor & act proactively or reactively on remote CCTV coverage including collating of reports & forwarding any requested information to Operational Staff or clients
  • Monitor & act on Wireless Intruder Detection System warnings deploying Mobile Response officers or and/or reporting on & forwarding any requested information to Operational Staff or clients
  • Receiving alarm activations & deploying Mobile Response units to investigate appropriately
  • Representing clients & responding as their Helpdesk services in line with their instructions
  • Proactively manage, retain and develop long term relationships within the clients’ accounts and recognising opportunities for business development.
  • Analyse call volumes, call queues and traffic as necessary.
  • Work closely with operational team to ensure service excellence to internal & external clients
  • Ensure clear & concise written & verbal handovers between shifts to maintain excellent communication & no dilution of service quality

As part of Ward Security’s continuing growth & to support our core mobile security teams, we are now looking to recruit a reliable, trustworthy & professional “Relief” Mobile Response Security Officer to cover nights and weekend duties across 4 mobile routes based in the Watford, Staines, Slough and Central London

As this is a relief position designed to cover annual leave and sickness it requires a good level of availability and flexibility as may be on occasion called upon at short notice. The successful candidate will need to have the means to travel to each base when required to collect the vehicle. Due to company insurance age limit minimum of 21 years

Although a relief position in return we offer a guarantee of 36 hours per week with the opportunity of extra hours either in the Mobile Response Duties or covering Static Officers on sites when requested.

We are currently recruiting for professional and highly motivated, Loading Bay Operative to join our site based team at Bankside, London.

This role is responsible for ensuring the effective and efficient management of the loading bay operation for a multi-agency site by means of operational interaction and direct supervision of the area. 

This position would require the Loading Bay Officer to work Monday- Friday 7.00am-7.00pm, however additional hours maybe required depending on the operational needs of the business. 

Main responsibilities will include:

  • To maintain security for site loading bays.
  • To ensure deliveries are received in a timely manner and that the relevant documentation is kept updated
  • To keep internal mail room staff informed of all deliveries.
  • To complete regular H&S audits and escalate any concerns to the General Manager
  • To actively deal Couriers that challenges his authority.
  • To make sure the loading bay users keep the loading bays tidy and restrict themselves to their working areas and keep their bins and cages in their allocated areas.
  • To schedule and control the delegation and use of the goods lifts.
  • Share knowledge and experience with all employees under your supervision. Participate in and ensure the continuation of training to all members of staff within the remit of your authority.  
  • Any other duties that the Company may request from time to time that have not been included in the above.

This position will be to manage legitimate access into the building and ensure relevant access is given to authorised personnel.  This position is very much a “Front of House” client facing role which demands a high level of interaction with both Agents and visitors from overseas and other regional offices. 

This position would require the Pass Office Administrator to work Monday- Friday 8.00am-6.00pm, however additional hours maybe required depending on the operational needs of the business. 

Main responsibilities will include:

  • Issue photographic ID passes to authorised members of staff
  • Ensure all relevant details are accurately entered on the access control database
  • Liaise with Agents and relevant parties to ensure only requested, approved access is granted
  • Provide consolidated reports as and when requested by the client
  • Ensure all permanent staff passes issued are valid for requested areas only
  • Cancel passes when notified of leavers in a timely manner
  • Liaise with catering department to ensure an accurate report is generated on a daily basis
  • Ensure all Company Compliance issues are met
  • Prepare weekly reports for security management
  • Ensure card stocks are replenished on a regular basis
  • Ensure all returned passes are cancelled upon receipt
  • Ensure Pass Office and surrounding areas are kept neat and tidy at all times
  • Ensure you are in correct company issued uniform at all times.
  • Liaise with Security Control Room for “out of hours” activities which require access passes.

Main responsibilities will include:

  • To provide regular foot patrols within defined areas as an effective deterrent in the protection of the client’s property and assets.
  • To effectively control the access to the client’s premises, examining documentation to ascertain the authenticity and authority to gain access.
  • Where provided to provide monitoring functions to CCTV and alarm functions.  To be aware of the operation of those functions and to respond as required.
  • When required to assist and escort visitors to their destinations within the clients complex.
  • To submit detailed reports on discovery of issues relating to health and safety and crime to the relevant authority either verbally or in report form as required.
  • To effectively deal with all incidents falling within the security remit and to effectively report all incidents to the relevant authority.
  • To maintain a log of all visitors, incidents and any other records that may be required by the client.
  • To maintain the clients key safe to issue and record all movements of keys within the clients premises.
  • To identify suspicious persons and actions and report such circumstances.
