Main responsibilities will include:

  • To effectively control the access to the client’s premises, examining documentation to ascertain the authenticity and authority to gain access.

Payroll Administrator – Head Office 102

Monday to Friday, average of 37.5 hours per week.

As part of our continuing growth, we are now looking to recruit a Payroll Administrator to join our forward thinking company based at our Administration Centre.

This role is responsible for the timely, efficient and accurate delivery of all company payrolls, including record-keeping and reporting, to ensure that all deadlines are met and ensuring an effective payroll service for the company.  This role will be responsible for over-seeing the company benefits and pension schemes.

 Main responsibilities will include:

  • Managing the company’s payrolls from start to finish for timely submission to external payroll providers
  • Working alongside the company’s external payroll providers to ensure the monthly PAYE process is followed and ensure all submissions are made within HMRC deadlines
  • Liaising with external payroll providers to ensure compliance and submissions for RTI and CIS payments
  • Applying PAYE regulations and company rules on calculating and entering company sick pay, Statutory Sick Pay, Statutory Maternity Pay, Statutory Paternity Pay, etc
  • Calculating and administering holiday pay entitlement together with manual payments and repayments where required
  • Managing the company’s pension scheme ensuring compliance with pension regulations and that monthly contributions are submitted accurately and promptly to external payroll provider for payment
  • Responsibility for managing company benefits schemes such as salary childcare card, spec savers and long service awards and Life Assurance policies
  • Liaising with HMRC and other third parties to resolve any employee tax related queries
  • Compliance with Company Policies and Procedures on reconciliations, authorisations and evidencing
  • Reconciling End of Tax Year and producing and issuing various forms as required by HMRC: such as P45’s, P60’s, P11d’s & P46’s in liaison with the Financial Controller
  • Responsibility for processing the Ward Security Limited Travel and Subsistence Allowance and assisting with communicating the scheme to new staff and responding to queries
  • Sharing best practice amongst the HR team and company to develop improved ways of working
  • Any other duties that the Company may request from time to time that have not been included in the above

 

The successful candidate will:

  • Have extensive experience of working with computerised payroll systems and knowledge of SAGE payroll system
  • Be able to multitask effectively and have the ability to establish and maintain effective working relationships with employees and external clients.
  • Have managed simultaneously a variety of different payrolls, eg within a bureau environment
  • Demonstrate a good knowledge of PAYE and relevant HMRC process
  • Be used to working in a high paced environment
  • Be a good team player and form good working relationships with internal and external customers
  • Be dedicated to the quality, timeliness and accuracy of client servicing
  • Be able to act quickly and decisively
  • Have high levels of personal discretion and confidentiality

Health and Safety Officer – Head Office 103

As part of our continuing growth, we are now looking to recruit Health & Safety Officer to join our forward thinking company based at our Administration Centre.

The role is responsible for coordinating, advising and supporting the company on all aspects of its Health and Safety responsibilities.  To implement, manage and monitor processes and training to ensure company duties are adhere to and in line with Health & Safety regulations.

Main responsibilities will include:

  • Monitor company’s compliance with current H&S legislation, including visits to sites and other locations when required
  • Carry out Health & Safety audits of Clients premises where requested in line with H&S management standards and legislation, produce timely and accurate reports and action plans with recommendations as far as is reasonably practicable and present findings where appropriate
  • Ensure all company Health & Safety documentation is accurate and complete at all times and directly reflects all Company Operating Procedures and relevant British Standards
  • Investigate accidents/incidents and recommend appropriate corrective action to prevent recurrence, present the findings to Management and Directors when required
  • Contribute to the development of and oversee systems for reporting and producing statistics
  • Undertake and assist in regular risk assessments, on current and all new sites advising on reasonably practicable control measures and monitoring of progress of recommendations.  Identify security compromises (actual or potential) and raise awareness amongst security personnel, the client and the Company of security issues, offering advice and guidance where appropriate. Ensure Risk Assessments are carried out before a contract commences.
  • Liaise with external organisations such as the Health and Safety Executive, British Safety Council, British Standards Institute, insurance personnel and solicitors as necessary to professionally represent the company  
  • Research, write and implement internal and external health and safety policy and procedures documents in line with Health and Safety regulations
  • Assist the Senior Management Team with ongoing audits of the Company’s functions in line with ISO9001
  • In conjunction with HR colleagues, coordinate the company’s health and safety training programme and contribute to the company’s on boarding process for new employees
  • Any other duties that the Company may request from time to time that have not been included in the above.

 

The successful candidate will have:

  • 2 years’ experience within Manned Security Industry preferred
  • 2 years’ experience and proof of Health & Safety Training will be required
  • 1 years’ experience at Health & Safety Management level
  • Working knowledge of Microsoft Office Packages
  • Excellent Organisational and Time Management skills
  • Excellent Project Management skills

  • To identify suspicious persons and actions and report such circumstances.

  • Undertake risk assessments, as part of a dedicated team, to identify security compromises (actual or potential) and raise awareness amongst security personnel, the client and the Company of security issues, offering advice and guidance where appropriate.
  • Assist the Senior Management Team with ongoing audits of the Company’s functions in line with ISO9001. Must be able to demonstrate a commitment to providing a quality service through effective quality systems.
  • Liaise with the Commercial Department in relation to the mobilisation of new contracts.
  • Liaison with the Supervision and Response personnel, ensuring that the Company’s obligations are adhered to at all times in a timely and professional manner. Ensure that all relevant information is collated and recorded for future reference.
  • Establish links with community police, where possible, to ensure that the appropriate interface on all security related issues is available.
  • Assist in the development and management of appropriate systems, including files and databases, to ensure production of appropriate reports relating to Company incidents, and other ad hoc reports as required by the Senior Management Team.
  • Assist in the development and implementation of appropriate policies and procedures ensuring regularisation of internal systems related to security to produce a holistic and standardised approach.
  • Advise the Senior Management Team on local security related issues as required, ensuring interdepartmental interfacing where appropriate.
  • Upon request, participate in and advise on the recruitment, selection and interviewing of staff within the sector managed.
  • Assist the Senior Management Team with the induction and supervision of appointed staff, and in accordance with the Company’s in-house basic training programme.  Monitor progress and evaluate through regular supervision and appraisal, the targets and objectives for individual employees.  
  • Share knowledge and experience with all employees under your supervision. Participate in and ensure the continuation of training to all members of staff within the remit of your authority.

  • To effectively control the access to the client’s premises, examining documentation to ascertain the authenticity and authority to gain access.
  • Where provided to provide monitoring functions to CCTV and alarm functions.  To be aware of the operation of those functions and to respond as required.
  • When required to assist and escort visitors to their destinations within the clients complex.
  • To submit detailed reports on discovery of issues relating to health and safety and crime to the relevant authority either verbally or in report form as required.
  • To effectively deal with all incidents falling within the security remit and to effectively report all incidents to the relevant authority.
  • To maintain a log of all visitors, incidents and any other records that may be required by the client.
  • To maintain the clients key safe to issue and record all movements of keys within the clients premises.
  • To identify suspicious persons and actions and report such circumstances.

Successful candidates should be reliable and punctual, possessing:
